Where Do You Stand?"},"content":{"rendered":"<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><a href=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Business2Bpencil2Bdepicting2Bcontent2Bcreation2B-2Bfreedigitalphotos.net2BZirconicusso-1.jpg?ssl=1\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" src=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Business2Bpencil2Bdepicting2Bcontent2Bcreation2B-2Bfreedigitalphotos.net2BZirconicusso.jpg?resize=474%2C474&#038;ssl=1\" width=\"474\" height=\"474\" border=\"0\" data-original-height=\"400\" data-original-width=\"400\" \/><\/a><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">Facing an audience of male and female executives, some of whom worked in multinational oil companies and in other reputable organisations, I mouthed with some flourish:<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p>&#8220;Nothing will kill your career faster than incompetent or ineffective business writing skills&#8221;.<\/p>\n<\/div>\n<div style=\"text-align: justify;\">Having amended the original slogan from\u00a0<span style=\"color: #3366ff;\"><a style=\"color: #3366ff;\" href=\"http:\/\/www.thelanguagelab.ca\/\">The Language Lab<\/a><\/span>, I used it as my opening remark for the business writing sessions that I recently facilitated for a seminar.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">As the audience visibly pondered on the veracity of my claim, I slowly repeated the sentence.<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p>I explained that not only did I completely agree with the statement, I also believed that because business writing was so instrumental to our careers, we&#8217;d be required to write convincingly to\u00a0 influence people at some point in our professional journey.<\/p>\n<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">So whether you go on to conquer new professional feats or fail miserably will depend on your (in)ability to express your views to sway your audience to take the desired action.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">And it wouldn&#8217;t matter what role you have, or the sector in which you work.<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">Here&#8217;s the thing about business writing:<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">It&#8217;s difficult to write really well in the business context; so if you can hone this skill, you immediately differentiate yourself from the pack.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Below are some insights from my sessions:<\/div>\n<h3><\/h3>\n<h3 style=\"text-align: justify;\"><strong>1) To write well, you must take into account the other types of\u00a0 communication<\/strong><\/h3>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><a href=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Leader2Baddressing2Ba2Bgroup2B-2Bfreedigitalphotos.net2BCooldesign-1.jpg?ssl=1\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" class=\"\" src=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Leader2Baddressing2Ba2Bgroup2B-2Bfreedigitalphotos.net2BCooldesign.jpg?resize=523%2C392&#038;ssl=1\" width=\"523\" height=\"392\" border=\"0\" data-original-height=\"300\" data-original-width=\"400\" \/><\/a><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">You can&#8217;t write well without having a good understanding of the context that will shape your writing.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">And this often means that you&#8217;d need to consider verbal and nonverbal cues, whenever appropriate.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">For example, if you&#8217;re required to write a letter rebuking an undesirable behaviour, knowing what was verbally uttered and the nonverbal cues that accompanied the action, will guide you on how to word the letter.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Business writing shouldn\u2019t thus be done in a vacuum.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Moreover, in sensitive matters, a good deal of emotional intelligence is required to maintain a delicate balance between professionalism and empathy.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">For example, in a case involving a tragedy, it might mean the difference in impact between the two options sent by your employer:<\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">A)&#8221;Please accept our condolences on the loss of your loved one. Regretfully, because of time constraints, we must insist on your decision by 4 pm&#8221;.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">B)&#8221;Please accept our condolences on the tragic loss of your loved one. We can appreciate that this painful circumstance is emotionally draining for you. <span lang=\"EN-GB\">Therefore, we would wait for a convenient time to be informed of your decision<\/span><span lang=\"EN-GB\">&#8220;.<\/span><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">Despite your grief, you&#8217;re likely to consider the second option more favourably; you\u2019d also be inclined to promptly respond to that subtle request.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Comparatively, your reactions to the first statement may range from disbelief to disgust. You might even become emotionally detached from your employer and reassess your continued tenure in the organisation.<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">Choosing the appropriate words, style and delivery in business writing may take time to master but with practice, you can write persuasively, even in delicate matters.<\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<h3><strong>2) You need to replace bad habits with effective alternatives<\/strong><\/h3>\n<\/div>\n<div style=\"text-align: justify;\"><a href=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/3D2Bman2Bpointing2Bto2Bcrossed2Bsign2B-2Bfreedigitalphotos.net2BStuart2BMiles-1.jpg?ssl=1\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" class=\"\" src=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/3D2Bman2Bpointing2Bto2Bcrossed2Bsign2B-2Bfreedigitalphotos.net2BStuart2BMiles.jpg?resize=442%2C442&#038;ssl=1\" width=\"442\" height=\"442\" border=\"0\" data-original-height=\"400\" data-original-width=\"400\" \/><\/a><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">We&#8217;ve been guilty of the following:<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">&#8211; Bad grammar, (made worse because we didn&#8217;t know we were using bad grammar). Included here is the laziness to verify constructions that are suspect.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">&#8211; Poor or nonexistent habit of reading good content.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">&#8211; Persistent unwillingness to write. We either get people to write for us or we avoid writing altogether.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">The habits above, over time, further weakened our writing. Then when placed in competitive environments, our ineffective writing skills lost us business opportunities or cost us promotions.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">So, while we&#8217;re all educated and can write passably, we often struggle with writing effectively in the business context.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">The solutions are simple but must be consistently applied. To change those bad habits, you should:<\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p><strong>A) Brush up on grammar<\/strong><\/p>\n<\/div>\n<div style=\"text-align: justify;\">Do some grammatical exercises online and brush up on the standard rules. The <span style=\"color: #3366ff;\"><a style=\"color: #3366ff;\" href=\"http:\/\/www.bristol.ac.uk\/arts\/exercises\/grammar\/grammar_tutorial\/page_41.htm\">University of Bristol<\/a><\/span>\u00a0has an online section where you could do exercises, as well as read simple explanations about different topics on grammar. Do as many exercises as possible, beginning with exercises on punctuation marks, subject-verb agreement, and common confusions.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Another online resource, the\u00a0<a href=\"https:\/\/owl.english.purdue.edu\/owl\"><span style=\"color: #3366ff;\">Purdue Online Writing Lab<\/span><\/a><span style=\"color: #3366ff;\">\u00a0<\/span>is also useful for testing your understanding of grammatical norms.<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">Nonetheless, note that (re)learning good grammar in isolation is no more effective than memorising the dictionary and not putting that knowledge into practice.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Consider good grammar as a solid foundation. You must build upon that foundation by writing regularly to hone your business writing skills.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p><strong>B) Read well-written content<\/strong><\/p>\n<\/div>\n<div style=\"text-align: justify;\"><a href=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Businessman2Breading2Bbooks2B-2Bfreedigitalphotos.net2BStuart2BMiles-1.jpg?ssl=1\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" class=\"\" src=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Businessman2Breading2Bbooks2B-2Bfreedigitalphotos.net2BStuart2BMiles.jpg?resize=458%2C458&#038;ssl=1\" width=\"458\" height=\"458\" border=\"0\" data-original-height=\"400\" data-original-width=\"400\" \/><\/a><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">You&#8217;d \u00a0never \u00a0improve your \u00a0business \u00a0writing skills \u00a0if you \u00a0don&#8217;t regularly read good materials. I have stressed this point in several articles on this blog. Learn from \u00a0good authors by reading their work.<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Read every day. It doesn&#8217;t matter what you read as long as it&#8217;s written in foolproof English. Take your pick from short stories, novels, articles, magazines and influential business sources.<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">There&#8217;s a reason that those who write them are celebrated.<\/div>\n<div style=\"text-align: justify;\">Learn from them.<\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p><strong>C) Understand the three &#8216;rules&#8217; of effective business writing\u00a0<\/strong><\/p>\n<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p><strong>I) Consider your audience<\/strong><\/p>\n<\/div>\n<div style=\"text-align: justify;\">Your audience will determine the style you use and the vocabulary you choose.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Don&#8217;t write anything until you address the allure of value for the recipient. To be a persuasive writer, you should consider the what&#8217;s-in-it-for-me angle.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p><strong>II) Aim for simplicity, brevity and clarity<\/strong><\/p>\n<\/div>\n<div style=\"text-align: justify;\">These\u00a0<a href=\"https:\/\/lucilleossai.com\/blog\/2013\/02\/23\/the-communications-strategy-revisited-practical-tips-for-corporateville\/\">t<span style=\"color: #3366ff;\">hree &#8216;beacons&#8217; of effective writing<\/span><\/a><span style=\"color: #3366ff;\">\u00a0<\/span>will sharpen your content and make it compelling.<\/div>\n<div style=\"text-align: justify;\">Learn how to do it right.<\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p><strong>III) Proofread thoroughly and edit ruthlessly<\/strong><\/p>\n<\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Here, your (hopefully) improved grammar will become invaluable to your finished product. Proofread your work thoroughly. Read your piece audibly and slowly. You&#8217;d catch mistakes that the spell-check won&#8217;t flag.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">For your editing, eliminate redundancies and jargon. Be ruthless in pruning clutter, (words or phrases that add no value). Your writing would then become crisp and succinct.<\/div>\n<h3><\/h3>\n<h3><\/h3>\n<h3 style=\"text-align: justify;\"><strong>3) Become familiar with the structures of different types of business content<\/strong><\/h3>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">For report writing, the <a href=\"https:\/\/lucilleossai.com\/blog\/2012\/03\/24\/communications-strategy-paving-the-way-to-a-healthy-corporate-image\/\"><span style=\"color: #3366ff;\">six components of the RBCB Communications Strategy<\/span><\/a>\u00a0are useful to ensure clarity in your document. Consider incorporating them in your next report for speedier results.<\/div>\n<div><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><a href=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Knowledge2Bpuzzle2B-2Bfreedigitalphotos.net2BStuart2BMiles-1.jpg?ssl=1\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" class=\"\" src=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Knowledge2Bpuzzle2B-2Bfreedigitalphotos.net2BStuart2BMiles.jpg?resize=484%2C431&#038;ssl=1\" width=\"484\" height=\"431\" border=\"0\" data-original-height=\"356\" data-original-width=\"400\" \/><\/a><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">To write\u00a0 <a href=\"https:\/\/lucilleossai.com\/blog\/2015\/09\/30\/how-to-craft-powerful-emails-that-get-you-noticed\/\"><span style=\"color: #3366ff;\">powerful emails<\/span><\/a>\u00a0that get results,\u00a0ensure that your elements are clearly defined and that your call-to-action is undeniable.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">Don&#8217;t dread <a href=\"https:\/\/lucilleossai.com\/blog\/2013\/11\/28\/overcoming-our-phobia-of-formal-writing\/\"><span style=\"color: #3366ff;\">mastering formal writing<\/span><\/a>. When you know the structure to use and the required &#8216;protocol&#8217;, you\u2019d be able to write convincingly.<\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<h3 style=\"text-align: justify;\"><strong>Conclusion\u00a0<\/strong><\/h3>\n<div style=\"text-align: justify;\">I ended the business writing sessions by making what many might have considered a bold statement.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\">&#8220;Once you know the rules, there\u2019s no one on this planet you wouldn&#8217;t be able to write to&#8221;.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div style=\"text-align: justify;\"><a href=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Challenge2Byourself2Bnote2B-2Bfreedigitalphotos.2Bnet2BStuart2BMiles-1.jpg?ssl=1\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" class=\"\" src=\"https:\/\/i0.wp.com\/lucilleossai.com\/blog\/wp-content\/uploads\/2017\/10\/Challenge2Byourself2Bnote2B-2Bfreedigitalphotos.2Bnet2BStuart2BMiles.jpg?resize=531%2C457&#038;ssl=1\" width=\"531\" height=\"457\" border=\"0\" data-original-height=\"344\" data-original-width=\"400\" \/><\/a><\/div>\n<div style=\"text-align: justify;\"><\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">And I meant every word.<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p>I assured the participants that even though we were not all gifted with superb writing skills, we could always improve if we did the work.<\/p>\n<\/div>\n<div><\/div>\n<div><\/div>\n<div style=\"text-align: justify;\">\n<p>But change we must because business writing skills are too important to leave to chance.
